One pattern worth naming: insurance carriers and landlords increasingly write equipment requirements into policies and leases outright — named camera brands, retention minimums, monitored alarm certificates. TERMINOLOGY
Most bad quotes hide inside vocabulary. This is the working glossary for reading any NYC commercial security proposal.
PoE / PoE+. Power over Ethernet — one Cat6 run carries both data and power to a camera, reader or intercom. The commercial default, because it centralizes power and backup.
NVR vs DVR vs VMS. DVRs record analog cameras, NVRs record IP cameras, and a VMS is the software layer that manages many recorders and sites. If your quote says DVR in 2026, ask why.
ONVIF. The interoperability standard that lets cameras and recorders from different brands work together — the difference between owning a system and being locked to a vendor.
OSDP. The current secure protocol between readers and access panels, replacing legacy Wiegand wiring that can be skimmed at the door. New installs should be OSDP-ready.
Fail-safe vs fail-secure. What a locked door does when power dies: fail-safe unlocks, fail-secure stays locked. Egress doors and fire code decide this, not preference.
Electric strike vs maglock. Two ways to electrify a door. Strikes work with the existing latch; maglocks hold the door with magnetic force and carry strict egress rules in NYC.
REX. Request-to-exit — the sensor or bar that lets people leave freely while the door stays locked from outside. Miss it and the door either alarms all day or traps people.
Door position switch. The contact that tells the system a door is actually closed — the difference between “locked” and “propped open since lunch.”
Mobile credential. Your phone as the key. Harder to lend out than a fob, revocable in seconds, and increasingly what commercial tenants expect.
Dual-path communicator. An alarm panel that reports over both cellular and internet, so a cut line or an ISP outage does not silence monitoring.
Video verification. A short clip attached to an alarm signal so the monitoring center dispatches on evidence, not guesswork — the single best false-alarm reducer.
Retention. How many days of footage the recorder holds before overwriting. Insurers and claims timelines, not gut feel, should set this number.
Edge analytics. Detection running on the camera itself — person, vehicle, line-cross, loiter — so alerts arrive in real time instead of after a scrub.
NDAA-compliant. Hardware permitted on federally connected projects. If your business bids government work, this one word belongs in your camera spec.

Monitored alarm certificates your carrier will actually accept. Electrified hardware on egress and fire-rated doors, where code — not preference — decides fail-safe versus fail-secure. Retention sized to claims timelines. Audit trails that stand up when HR needs them. One accountable, licensed party with a COI your landlord will file. And anything near a fire alarm, which carries its own Master Electrician and FDNY chain entirely.
The verdict tracks the property: owner-occupied and low-stakes, DIY defensibly; leased, insured, regulated or multi-door, professional — because the expensive part of a commercial system is not the hardware, it is being wrong about the one door that mattered.

A camera showing live video and a camera recording it are two different claims, and the second one fails silently — full drives, a stalled service, one unplugged cable after a cleaning crew. Life-safety system wiring is carved out, fire alarm scope carries its own DOB and FDNY chain, and maglocks on required egress doors must meet the Building Code’s special locking rules. The risks worth pricing are vendor lock-in and subscription stacking, not encryption. Either architecture done properly is sound; either one neglected is a liability.
